ELSENHAM ART & CRAFT FAIR
CONDITIONS.


Please arrive in good time on the day (from 8:30 am) so as to unload before members of the public start to arrive and get in the way. After unloading please move your vehicle to the remote end of the car park so that we can get the public in easily, especially the disabled. The hall will be open between 8 and 9 Friday evening while we set up, anybody wishing to set up their own pitches then is welcome to do so. The Hall doubles as a school hall so security is reasonably good.

Do not try to sell goods other than those agreed with us as you could encroach on somebody else. We will try to avoid others encroaching on you in return. Also, please do not top up your stock with goods not made by you unless its from another craftworker of equal integrity to yourself. We must retain our reputation for genuine high quality craftwork, it has taken a lot of effort over many years to establish this and its why we are still operating while others have failed.

Stalls must be ready for business in good time for us to open the hall to the public at 10:30 am. In case there is a queue do not expect to use the main door after 10:15 am. The fair will close to the public at 5:00 p.m.  Please do not pack up and move stuff around while the public is still present, especially children.

Extra space will be made available, free of charge, to those who will use it to demonstrate their craft, provided we have enough notice to plan the hall layout accordingly.

Nails, screws, drawing pins, sticky tape, blu-tac etc. must not be used on walls or tables provided by us. Please avoid anything that could leave a mark or sticky residue. Please note also that the floor is expensively plastic coated and vulnerable to scratching. Please put pads under metal staging feet for example.

This is a low cost, low margin operation organised and run by volunteers on behalf of the Elsenham Community Association, donations of goods for our Tombola are expected. This keeps entry and pitch prices down and attendance up. (about £5 at selling price please)

Tea, Coffee, Sandwiches and Rolls etc. will be on sale all day, very good food (especially the hot bacon rolls) at very good prices but you are of course at liberty to bring your own.  (But no kettles etc. - insufficient power available)

A plan of the hall layout will be posted just inside the main door and where we provide tables they will already be in position when you arrive. In case of problems, committee members will be around, do not move a table without agreement. Do not display goods on the floor in the aisles, people will trip over them. We regret we do not have space for double banking.
 
Cheques are to be payable to Elsenham Community Association. We regret that no pay-on-the-day facilities are available as the majority of the committee are stallholders and will be too busy on the day. Do not post date cheques, we use all the fee money for advertising up front, like you our only chance for a profit is to make the day a success.

We, the Organisers, are insured against any damages or loss where we can be found liable. Persons wishing to take part in the Fair by way of trade could be similarly liable both to us and the public, should any loss or damage be found to be attributable to them. We strongly recommend that stallholders have their own insurance both for Product and Public liability. Insured or not it is the stallholder’s duty in law to take every reasonable precaution to ensure that goods are of merchantable quality and that the manner of their presentation is safe. We will not be able to refuse to pass on stallholder’s details to anybody with good reason to ask for them, especially the authorities.

Where electrical equipment is used, we follow the IEE Code of Practice (Appliances) and we strongly recommend that all stallholders do the same. It is the stallholder's responsibility to ensure that all their equipment is safe (Certified), we only undertake to provide access to a single, standard 13 Amp-power outlet within 10 ft, from which a Stallholder may draw a maximum of 500 Watts (unless otherwise agreed beforehand). We have a legal duty of care so we will be on the lookout for dangerous electrical equipment and will require the removal of any found but this does not mean that concealing it transfers liability to us, we are not qualified to formally inspect your equipment. Please make sure your certification stickers are up to date for everything you want to use, to avoid disputes. Any article we become suspicious of will only be allowed to remain if an up-to-date test certificate is present (or a certificate of conformity if the equipment is less than a year old). Emergency exits and fire extinguishers shall not be obstructed or abused in any way. Displays shall not exceed allotted space and cause restricted movement of persons nor shall accumulations of combustible materials be allowed to become a fire hazard. Naked flames, (e.g. candles) shall only be lit with prior agreement as to appropriate precautions. Hazardous materials shall not be brought into the hall in quantities such as could become dangerous.

The hall including the entrance foyer is a DESIGNATED NO SMOKING AREA.
